Cost history for hospitality
Know which supplier cost changes deserve your attention.
Upload supplier invoices, review the evidence and build a reliable cost history from product to recipe to menu.
Invoice to menu, without losing the thread.
The operating problem
Supplier prices change inside paperwork.
Invoice formats vary. Pack sizes change. By the time a price movement reaches a spreadsheet, the useful context is often somewhere else.
Margin Mate turns reviewed invoices into a history you can trace, so owners and kitchen teams can see what changed before deciding what to do next.
How Margin Mate works
One continuous path from invoice to decision.
There is no mystery layer between the paperwork and the number. Each stage leaves a trail you can inspect.
Start with the source
Upload recent invoices
Bring the paperwork you already have. Margin Mate keeps each organisation’s documents private and separate.
Keep people in control
Review what needs attention
Check uncertain fields and confirm the invoice before it becomes part of your cost history.
Find the useful signal
Trace what changed
Compare confirmed observations by unit cost, date and source. Estimates appear only when the recorded history supports them.
Connect the kitchen
Carry costs into decisions
See the effect in recipes and menu checks, with the assumptions and exclusions visible beside the number.
Useful detail, where it matters
From a cost change to a considered menu decision.
Build history without rebuilding a spreadsheet.
Keep the invoice, the reviewed fields and later corrections connected. The record gets clearer over time instead of being overwritten.
Find the changes that may matter most.
Compare unit costs and observation dates. Estimated purchasing impact is labelled as an estimate and uses recorded invoice quantities.
Connect supplier costs to kitchen decisions.
See which recipes use a purchased product and where a stale or unresolved cost needs a human look.
Check a menu price without hiding the assumptions.
Show gross and net price, VAT treatment, ingredient cost, food-cost percentage and ingredient-basis GP. The calculation says what it excludes.
Same evidence, useful to both roles
One shared signal. Two practical next steps.
Owners and kitchen teams do not need different numbers. They need the part of the same number that helps them act.
See the movement behind the conversation.
Review supplier movement, comparable unit cost, dates and estimated purchasing impact in one place.
See which recipes need a look.
Follow a confirmed ingredient cost into affected recipes, with a clear action when a number is stale or unresolved.
Evidence before automation
Useful because the boundaries are clear.
One launch plan
Start with a clearer cost history.

Questions worth answering
Clear before you commit.
What invoice files can I upload?+
Margin Mate is designed for common supplier invoices in PDF or image form. The supported-file limits and any processing allowance will be shown in the application.
Does Margin Mate replace my accountant, EPOS or stock system?+
No. It gives your team a reviewed cost history and a clear chain into recipes and menu checks. It does not claim to replace accounting, EPOS or inventory systems.
What does estimated purchasing impact mean?+
It is an estimate based on recorded invoice quantities and comparable observations. It is not a statement of realised savings or actual profit.
What happens after the first three months?+
The first quarterly term is £19.98. After that, the subscription renews at £29.97 every three months unless cancelled.
Can I export my data?+
Export and closure access are part of the product boundary. The available format and support route will be confirmed in the product terms.
